How To Create a View Only Access User in TapRooT System Software 5.1.x


Use This Procedure If...

- Your company policy requires Senior Managers to have the ability to look at all investigations created with the TapRooT software. 


Step-by-Step Instructions

1. Go to Admin - User Management - Group Authorization.  This will take you to the screen where you can create the VIEW ONLY group.
    
2. From this screen, there are a few things that you will want to do:

    a) Type VIEW ONLY in for the title of the group.
    b) Press the [LOCATIONS] button and highlight the top-level location and press [SAVE] to create the new group
    c) Highlight VIEW ONLY group and press [EDIT] to add permissions for the group
    d) Assign Home Access as well and Logoff/Exit Access only and press [SAVE] to save the changes.

*** You may consider also adding access to REPORTS and DOCUMENTS if your Business model requires it ***

3. Once this new group is created Go to Admin - User Management - User Settings.  Here is where you will create a new user named 'ViewOnly User'

     a) Create a new user with the First Name of 'ViewOnly' and Last Name of 'User'
     b) Set the Login Id to ViewOnly, Assign to the VIEW ONLY Authorization Group and check the Active box to ensure the ID is Active before pressing [SAVE]

As a rule, you will want to start as a rule to add the ViewOnly User account to all new investigations.

*** Again, this account will NOT have the ability to edit the investigation, only to view it. ***
